What is it about?
- Ensure reception is manned and people needing to access our site (visitors, suppliers, post, etc) are greeted and helped as needed.
- Maintains office services by organizing office operations and procedures; correspondence; designing filing systems; and reviewing and approving supply requisitions.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
- Have newcomer- packs ready when new team members are joining.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; and identification cards.
- Coordinates meetings including agendas, minutes, and prepares reports and presentations.
- Orders office supplies and other office-related items
- Coordinates and books travel (flights, hotels, transfers, meals, etc)
- Creates purchase orders in systems and other related AP documents for the Site and resolves possible issues.
- Negotiates with Local Site Landlord about Site related items (contracts, rent, fees, etc.)
- Supports Site leadership by office change requirements.
- Support the Site leadership by driving charity and other marketing events and actions.
- Coordinates and organizes Site-related employee events, such as team buildings, Town halls, etc.
- Has experience in booking business travel for the site and managing related expense reports.
- Helps support visitors to the site.
- Updates SharePoint files and sites
- Provide office management support as needed, including employer branding, etc.
Who are we looking for?
- At least 2 years administrative experience including experience supporting a Department Head
- IT literate – advanced MS Office skills (Word, Excel, and PowerPoint) and familiar with databases and IT systems
- Fluent in English and Czech (written and spoken)
- Service oriented
- Excellent attention to detail, good communication, and organizational skills
- Professional, credible individual with experience in a multi-national organization
- Results and deadline driven
- Proactive and able to demonstrate the use of initiative
- Flexible and adaptable to changing priorities
- Canva knowledge is an advantage
